Privacy Policy – Grant Applicants, Grant Awardees and Donors
What we need
Scottish Golf Charitable Trust will collect personal information from applicants for grants, awardees of grants and from donors. Scottish Golf Charitable Trust has an agreement with Scottish Golf to manage its data and while Scottish Golf Charitable Trust will be a “controller” of the personal information that you provide to us you agree that we can pass your personal information to Scottish Golf for processing
We may collect personal information from you when you give it to us directly by:
Meeting us at an event including taking part in a SGCT or Scottish Golf event;
Registering on our website
Making an application to us for grant funding or support
Making a donation to us
As an applicant or awardee or donor we may ask you for the following information:

contact details – name, address including postcode, email address, gender, date of birth, contact number etc.;

parent’s name, parents’ email, parent’s phone number;

coach’s name, coach’s phone number, coach’s email

education details – school, college, university

coaching details

participation details –, club, courses you play, dates you play, your scores and information relating to your handicap;

Medical information – allergies, dietary requirements, pre-existing medical conditions

If you are under the age of 18 you will need to get a Parent/Carer (maybe your mum or dad) to help you and to confirm that we can use your personal data in accordance with this policy.
As a donor we may ask you for the following information:
Contact details – name, address including postcode, email address, gender, date of birth contact number
Payment details – bank account number, sort code, credit card details
UK Tax Status – to allow us to claim gift aid on any donation
Information that we receive from other sources:
We may receive personal data about you from golf clubs which are affiliated to Scottish Golf or via software providers acting on behalf of those clubs.
Why we need your personal information – contractual purposes
We need to collect personal information so that we can manage your registration with us, any application, award or donation.
Why we need your personal information – legitimate purposes

Where we process your personal information in pursuit of our legitimate interests, you have the right to object to us using your personal information for the above purposes. If you wish to object to any of the above processing, please contact us.
Why we need your personal information – equality of opportunity or treatment
We may ask to collect additional personal information relating to your health, racial or ethnic origin, etc. for equality monitoring purposes. We will process such personal information, through aggregated and anonymised reports, to identify and keep under review the existence or absence of equality of opportunity or treatment between groups of people within the same categories to promote or maintain equality within our sport.
Other uses of your personal information
We may ask you if we can process your personal information for additional purposes. Where we do so, we will provide you with an additional privacy notice with information on how we will use your information for these additional purposes.
Who we share your personal information with
If your personal information is included in any images or videos taken by us we may share this for promotional and/or journalistic purposes.
Your personal information collected from participation in an event may be shared with our patrons, sponsors and partners for specific purposes only.
We may be required to share personal information with statutory or regulatory authorities and organisations to comply with statutory obligations. Such organisations include the Health & Safety Executive, Disclosure Scotland, Children 1st, Professional Golfers Association (PGA) and Police Scotland for the purposes of safeguarding children and/or protected adults.
We may also share personal information with our professional and legal advisors for the purposes of taking advice
Scottish Golf Charitable Trust employs third party suppliers to provide services. These suppliers may process personal information on our behalf as “processors” and are subject to written contractual conditions to only process that personal information under our instructions and protect it.
We may share your data with other organisations involved in the calculation of your handicap.
In the event that we do share personal information with external third parties, we will only share such personal information strictly required for the specific purposes and take reasonable steps to ensure that recipients shall only process the disclosed personal information in accordance with those purposes.
Awardees personal data
We publish details of our award recipients on our website, Scottish Golf Website and in the media. These may include awardee’s name, age category, home club, county/area, school, university or college.
